Overview
Managed travel for teams that move
Unmanaged business travel fails quietly. Nobody knows where staff are, spend drifts above policy without anyone noticing, and finance reconciles receipts for weeks after the quarter closes.
A managed account fixes the process rather than policing the people. Your travel policy is loaded once and applied at the point of booking. Approvals route to the right person automatically. Every trip is visible on one dashboard, and every invoice arrives against the correct cost centre.
We hold 140 corporate accounts, from six-person consultancies to distributed teams across several states. Implementation takes about a fortnight and does not require your team to learn new software.
- Your travel policy applied automatically at booking
- Approval routing configured to your actual hierarchy
- Traveller tracking and 24/7 duty-of-care response
- One consolidated invoice, coded to your cost centres
Benefits
What you get that you would not get elsewhere
- 01
Policy that enforces itself
Cabin class, advance-purchase windows, hotel ceilings and preferred carriers applied at booking. Out-of-policy requests are flagged and routed for approval rather than silently accepted.
- 02
Duty of care that works
You can locate every travelling employee within minutes. If there is disruption, a security incident or a medical emergency, our duty desk contacts them and reports to you.
- 03
Spend you can actually see
Quarterly reporting by department, cost centre, route and supplier — with the savings opportunities identified rather than left for you to find.
- 04
Finance stops chasing receipts
One consolidated invoice per cycle, coded to your cost centres, reconciled by us. Expense-claim volume drops immediately.
- 05
Negotiated rates applied
Airline and hotel agreements loaded against your profile, including any you already hold directly, so they are used every time rather than when someone remembers.
- 06
A named account manager
One person who knows your policy, your people and your travel patterns — not a ticket queue.

The process
Six steps, one advisor
Written out so you know exactly what happens next, and when.
- 01 Week 1
Discovery
We review your current travel volume, existing supplier agreements, approval structure and what is not working. Usually an hour with whoever owns travel and whoever owns the budget.
- 02 Week 1
Policy design
We draft or refine your travel policy — class thresholds, booking windows, hotel ceilings, preferred suppliers and exception handling — and agree it with you in writing.
- 03 Week 2
Account configuration
Traveller profiles, cost centres, approval chains and negotiated rates are loaded and tested. Existing airline and hotel agreements are attached to your profile.
- 04 Week 2
Onboarding
A short briefing for travellers and bookers, plus a one-page reference. No new software for your team to learn — the process fits how they already work.
- 05 Ongoing
Live operation
Bookings run through the account with policy applied and approvals routed. Your account manager handles exceptions and escalations directly.
- 06 Every quarter
Quarterly review
Spend analysis, compliance rate, supplier performance and specific recommendations. Policy is adjusted where the data says it should be.

Our finance team got three weeks a quarter back
We were reconciling around 180 individual expense claims a quarter. Now it is one invoice, coded to our cost centres, and our compliance rate went from somewhere around 60% to 94% because the policy is applied at booking instead of argued about afterwards. Implementation took twelve days and nobody had to learn new software.

Eighty-five people, nine cities, nobody stranded
Our annual offsite pulls people in from nine cities across four countries. Two flights were cancelled the morning it started. Their duty desk had both groups re-routed and had messaged me a revised arrival board before I had finished my first coffee. I never had to tell the room anything had gone wrong.

The quarterly review found savings we had missed
The first quarterly review identified that 40% of our India domestic bookings were going out inside seven days at walk-up fares because approvals were sitting in inboxes. They restructured the approval routing rather than lecturing our travellers about booking earlier. Domestic spend dropped 22% the following quarter.
Corporate Travel questions
Frequently asked questions
Specific to corporate travel. General questions are answered on the FAQ page.
Not covered here? Ask us directly — we answer within four business hours.
What size company do you work with?
Our accounts range from six-person consultancies booking a few trips a month to distributed teams of several hundred across multiple states. Below roughly twenty trips a year a managed account is usually not worth the setup for you, and we will tell you that rather than sell it — we are happy to handle those bookings on a straightforward transactional basis instead.
How long does implementation take?
About two weeks from the first discovery call to live bookings, for most organisations. Complex approval hierarchies, multiple legal entities or an existing set of supplier agreements to migrate can extend that to three or four weeks. Nothing needs to stop while it happens — we run your bookings manually during the transition.
Do we have to use a new booking system?
No. Most of our accounts book by email or phone to their named advisor, exactly as they did before, and the policy and approval logic is applied on our side. If you want a self-service portal for routine trips we will set one up, but it is optional and it is not how most of our clients prefer to work.
What does it cost?
Corporate accounts are priced on a transaction-fee basis, with the fee per booking depending on your volume and mix. There is no setup charge and no monthly platform fee. We quote it against your actual travel pattern after the discovery call, so the number you see reflects your business rather than a list price.
Can you work alongside supplier agreements we already hold?
Yes, and you should keep them. If you have negotiated rates with an airline or a hotel group, we load them against your profile so they are applied automatically on every eligible booking — which in practice means they get used far more consistently than when individual travellers have to remember them.
How does duty of care work in practice?
Every traveller booked through the account is visible on a live map with their current itinerary. If there is disruption, severe weather or a security incident in a location where you have people, our duty desk contacts the affected travellers, confirms they are safe, and reports back to your nominated contact. You can also pull a location report yourself at any time.
What reporting do we get?
A monthly spend summary and a full quarterly review covering spend by department, cost centre, route and supplier; policy compliance rate with the specific exceptions listed; supplier performance; and identified savings opportunities. Reports are delivered in a format your finance team can work with, not a PDF they have to retype.
